Manage access to your offices
Learn how to activate the Access module to control and monitor your employees' access to company buildings.
Use the Access module to centrally control and monitor access to your buildings.
How to set up accesses?
Define your readers (access points): create access gates by associating them with the corresponding building. Then specify the flow of use (entry, exit, internal) and connect the readers to the physical hardware using the reader ID and the trigger.
Create permissions: define the permissions you want to assign to employees, associating them with the different access points.
Assign and activate permissions to employees:
Individual or group assignment: assign specific permissions to individual employees or groups of employees, also defining the period of validity of these permissions.
To assign one or more permissions to employees, you must go to the Directory/User List and select the employee (s) for whom you want to activate an access key. Once done, click on the “Edit Key” button and fill in the data required by the digital key activation mode: active or deactivated status, associated permissions, period of validity. Finally, Save!
Generalized Assignment (Initial Settings): Set basic permissions that are automatically applied to new employees and/or visitors. These permissions, which are applied by default, have a validity period - not modifiable - set to “forever” in the case of employees, on the current day for visitors.
Once the permissions are activated, employees will use their personal QR Code directly from the Nibol app to register access or open authorized doors. Find out here what the digital badge allows you to do.
Assign and activate permissions to a visitor: to assign a specific permission to a visitor, you must access the Visitor Register and click on the “View” button corresponding to the invitation to the visitor for whom you want to assign a digital badge (QR code).
Here, go to the Key section and click on the 'Edit' button to manage the permissions and validity of the digital badge. Once done, you can send the QR code to the visitor via email or print it and give it to them.
Finally, you have a complete access log available to:
Verify in real time all the accesses that occurred in each building.
Download detailed reports for internal analysis.
Remotely open an access point for an employee if necessary.
