Learn how to configure the settings of the workstations in your office, including exclusive and non-exclusive assignments for your employees or groups of employees

Make bookings visible on desks for your colleagues

To show employee bookings on the map:

  1. From business.nibol.co, click on Locations > Settings. From here you can activate or deactivate the setting next to the inscription 'Show Colleagues'.

Set a minimum number of reservations to open the office

Our customers use this feature to avoid opening their offices when there are a low number of reservations

To do this:

  1. From business.nibol.co, click on Building > Offices and then 'Settings' under your office name at the top of your screen

  2. Once here, you will have the opportunity to freely set the minimum number of reservations required to confirm the reservations made.

Move a location on the map

To move an entity:

  1. From business.nibol.co click on Building > Office and then Manage Map in the Map section.

  2. Once inside, hold down the left mouse button on the location you want to move and release when correctly positioned.

Assign an entity to an employee in an exclusive way

We recommend that you learn more about the difference between an exclusive and non-exclusive assignment in the dedicated FAQ, before proceeding with the settings.

Follow the following steps to assign an entity to an employee exclusively:

  1. From business.nibol.co, click on Building > Office and then “Manage map” in the “Map” section

  2. Once inside, click on the location you want to reserve for an employee.

  3. A window opens on the right, activate the exclusive assignment

  4. .Finally, click on “Position assigned to” by entering the name of the member that appears on the list or typing it in the box.

From now on, this station will be bookable only by the employee to whom it has been assigned. When the time comes to book, he or she will see on the map only their assigned seat available.

Assign an entity to several members, to several groups or to a member plus a group.

To assign the same location or parking space to multiple members, multiple groups, or to a member and a group, follow the following steps:

  1. From business.nibol.co, click on Building > Office and then “Manage map” in the “Map” section

  2. .Once inside, click on the location you want to assign

  3. A window opens on the right. Make sure that the exclusive assignment is deactivated

  4. Click on “Location assigned to” and select the combinations of members or groups to which you want to assign that location or parking space

From now on, assigned members and/or groups will be able to view and book the seat assigned to them and all the others available.

It is important to know that your members or groups without assigned seats or parking spaces will continue to book and see all available seats or parking spaces except those assigned.

Disable an entity

To deactivate an entity:

  1. From business.nibol.co click on Building > Office and then 'Manage Map' in the 'Map' section

  2. Once inside, click on the location you want to deactivate, and from the drop-down menu click on 'Activate'.
