Set up your floor plan and make your spaces bookable

Once you have created your space with floor plans for workstations and/or parking you will find that this solution will give you the ability to add a floor plan of your office, making it possible for your employees to reserve a specific workstation, parking, and meeting room within your company spaces.

Map for desks and parking lot

  1. Add a map > click on Add map to upload the map of your office. (Jpeg format, max 1000 px height).

  2. Once uploaded, you will have the possibility to start adding desks by clicking on Manage map

Add desks:

  1. Now you will face the map of your office.

  2. Click on the "Desks" icon to the left of your screen > click anywhere on the map to create a location.

  3. Clicking on any of these will bring up a menu on the right-hand side that will give you the ability to name that location, assign the location to a specific employee activate that location, and select features for that location. (When assigning desks make sure you have entered the employee members into the directory, this is how you do it).

  4. Once done go back to your floorplan > click on each workstation you want to assign, and only by clicking on "Workstation assigned to" will the emails of your employees appear for you to choose from.

    Done!

Add parking spots

You will now face the map of your parking.

  1. Click on the "Parking" icon from the left sidebar (see screenshot below), enter the characteristics of the space, and then click where you want the parking spots to be.

  2. Done that, clicking on each of them, you will have the possibility to edit the characteristics, give it a name, assign it, or activate/deactivate the parking spot.

  3. From now on, your employees will now have the possibility to book the parking spots you have just created.

    Done!

Add meeting rooms

  1. Click on Building > Office under the building of choice. (left column of the dashboard).

  2. Now, select the Office you want to place the meeting room in > click ✏️ next to the office name.

  3. Click on ✏️ next to the space > click on "Manage Map"

  4. With that done, you will be faced with your office floorplan. Then click on the Sale icon from the left bar (see screenshot below).

You will now be asked to draw the perimeter of the meeting room. > Click on the angles of it, one by one, until the starting point.

Now, enter the name of the room (see screenshot below), then the capacity and the amenities of it (mic, blackboard, projector, etc.). If you want, you can even add a picture of the meeting room to remind your employees which one they are booking.

Done > Click now on Save and you have finished. The meeting room has been added to your space map and your employees can book it and invite colleagues and external guests.

Add the amenities of a meeting room:

  1. From business.nibol.co, click on Building > Offices and select the office in which you want to modify.

  2. Done that, select the Space in which the meeting room is located, and click on Manage map.

  3. Now click on the meeting room you want to edit, and then select all the amenities that are present in the meeting room chosen.

Disable temporarily the meeting rooms

  1. From business.nibol.co, click on Building > Offices and select the office in which you want to modify.

  2. Done that, select the Space in which the meeting room is located, and click on Manage map.

  3. Now click on the meeting room you want to deactivate, and then on the toggle "Active".

Set up a check-in procedure for meeting rooms

Setting a check-in procedure may be an effective way to reduce the "no-shows" in your meeting rooms.

  1. From business.nibol.co, navigate to Rooms > Settings.

  2. Once there, click on the Check-in tab under Settings.

  3. Now you will be able to enable check-ins, set the time frame in which attendees should check-in, and even decide if you want to make the room available again in case of no-show.
