1. Open business.nibol.co

To begin with the setup of your Google active directory, open business.nibol.co. From our web app, click then on Integrations on the left sidebar.

2. Login with Google Workspace

Be careful, to proceed with the installation of the integration, you are asked to have an Admin or Superadmin account in Google Workspace.

Once here, you will have the possibility to check every integration between Nibol and third-party services. Click now on "Install" under the Google Workspace logo (see screenshot below).

Done that, you will be asked to log in to Google Workspace. Enter then your Google credentials and proceed to the next step.

3. Map your members in Nibol

Once logged in, Nibol will give you the possibility to assign roles in Nibol (Employee or Administrator) through your directory in Google Workspace. To describe this step we are asked to take a step back and prepare your active directory for the integration.

So, log in to Google Workspace. You will now face two possibilities, depending on the information already present in the profiles of your Google members.

  1. Option 1: I have already set the custom fields that I will use to assign the Admin role in Nibol to my Google members.
    Example: I want to assign the Admin role to all the members of my HR department. These members have the value "HR" under the field "Department" in their Google profiles

  2. Option 2: I have not set the custom fields that I will use to assign the Admin role in Nibol to my Google members.
    Example: I want to assign the Admin role to all the members of my HR department. These members do not have the value "HR" under the field "Department" in their Google profiles

Take a look at your directory, and proceed to the integration according to the condition.

Option 1: presence of a common value between the Admins-to-be in Nibol

In this case, the integration is pretty straightforward, since you will just need to enter the common value in Nibol.

To do that, from the Google Workspace dashboard, click on Users > (name of the user) > User information.

For example, in this case, you might want to use the value "HR" under the field Department (choose the value arbitrarily) as a discriminant for the insertion of new members as Admins (see screenshot below).

Now you just need to enter the value ("HR") in the corresponding field of the Map Entities page of Nibol. To do that, select the field "Department" and enter the value "HR" in the underlying input (see screenshot below).

Option 2: lack of presence of a common value between the Admins-to-be in Nibol

Attention: to proceed with the installation of a custom field you are asked to own a Superadmin account in Google. In case you don't have such authorization, forward this guide to the person having this account type in Google.

In this case, the integration installation requires the addition of a custom field.

To create a new field in Google Workspace, from the directory, click on "Other" and then "Manage custom fields" (see screenshot below).

Done that, click on "Add custom field" (see screenshot below).

Add now details such as Category, Description, and Name. Done that, click on "Add" on the bottom right side of the screen.

You are now ready to open the profile pages of your members to edit the newly added field.

To do that, from the Google Workspace dashboard, click on Users > (name of the user) > User information.

4. Synchronize your directory

Done! From now on, your Google directory is successfully integrated with the Nibol one. That means that when a new member is added to Google, it automatically appears as a new member also in Nibol. And you don't even take care of inviting him to use Nibol, we will send all the needed information to him or her automatically!
