Download Nibol App and start using it

To start using Nibol, make sure that you have our app installed on your mobile. If you haven't done it yet, here are the links to download it now:

If you have downloaded Nibol on your mobile, you are ready to start using our service.

Now, we ask you to check your company email inbox, you will find an email from Nibol with the instructions on how to set your new password. Accept the privacy policy and start using Nibol.

Edit the settings: language, profile, notifications

To upload a photo of yourself to Nibol App > click on the "Profile" icon from the bottom menu > Then select "Personal Profile" and you will be able to edit and/or upload your personal photo by clicking on the small grey avatar next to your name.

To change your language settings > click on the "Profile" icon on the bottom right and select Settings > Language.

By default, Nibol's notifications are enabled either in the form of push notifications or in the form of emails.

To change this setting, click on the "Profile" icon in the bottom menu, then select Settings > Notifications. Once inside, you'll have the ability to enable or disable the different channels by which we send you notifications.

Choose the office and the floor

  1. Click on the "Map" icon in the bottom menu

  2. Once there, the app will give you the possibility to choose the floor and the office you want to book a desk in, clicking on the top left side of the app

Book your workstation and view it on the map

Now, you may face two circumstances, depending on the chosen office.

  • I can't see the map of my office: If this is the case, your admin may have not uploaded the map of your office yet. No problem, to book a generic desk, after having selected the day on the upper side of the app, click on one "+". Now you will have the possibility to select the time of the reservation. Done that, finally click on "Reserve".

  • I can see the map of my office: Wonderful! Your admin has just uploaded the map of your office on Nibol. Now, after having selected the day on the upper side of the app, you can select the specific desk you want to book. To do that, click on one of the green circled "+" icons (zooming the map in and out at will). Done that, choose the time of your reservation and confirm it by clicking on "Reserve".

    Done!

Display all of your reservations

In both circumstances, the app will take you to your calendar, from which you could display all of your reservations, divided into days.

In case you will need to check them further on, click on the "Calendar" icon in the bottom menu.

You can also choose how to display previews of your and your colleagues' bookings by choosing either the start time of your booking or the name of your colleague.

Go to the filter symbol at the top right, next to the 🔍 > click and set your search.

You can also use the search filters to search for workstations, meeting rooms or car parks according to the services they offer.

The visibility of workstations, meeting rooms or car parks is activated by default to allow you to display them on maps or spaces with capacity.

Book a meeting room

Meeting room reservations are provided for spaces with maps only.

Book a meeting room and invite colleagues

  1. Open the Nibol app

  2. Choose the space in which you want to book a meeting room > click now on the "Map" icon from the bottom menu. Once here, the app will allow you to select the floor and the office of the reservation > do that by clicking on the upper left side of the screen.

  3. Chosen the space in which you want to book a meeting > check if there are meeting rooms in the area. These are similar to the green areas you can see below.

  4. Book your meeting room > click now on the room. Done that, you will see a window appear, it will give you the possibility to enter:

  • the hours of the reservation

  • the title of the meeting

  • the participants to the meeting (both colleagues and external users)

  • the notes of the meeting

  • a link to an external resource

  • the link to the videoconference (if held online)

Take your time to enter all the details.

Done that > click on "Book the room" on the bottom side of your screen.

The participants will automatically receive the details of the meeting.

Done!

Invite guests from outside your company to meetings

To check the details of the meeting and cancel it, click on the "Calendar" icon on the bottom left side of the app. Here you will find all of your reservations for the desks and the rooms of your office, divided by day.

Click on the title of the meeting to check the details of it.

In case you would want to add further participants to the meeting, just click on "Invite people" and enter their name (for Nibol users) or their email addresses (for external users).

Attention: when it will be time, from the Calendar page you will be asked to check in for the meeting room. In case you fail to check in for it, the company might decide to make the room available again for other Nibol users. Any of the participants can check in for the room.
